  2. Project management and settings
  3. Manage project statuses by using color-coded statuses

This guide will walk you through how to use Claritee's color coding feature to organize your project sections by status and assignments.

Step 1: Access Section Status Options

  1. Navigate to your project in Claritee
  2. Click on any section you want to update
  3. Look for the status dropdown that appears when the section is selected

Step 2: Set Initial Section Status

  1. Click on the status dropdown for your selected section
  2. Choose from the available status options (e.g., "In Progress," "In Review")
  3. The section will immediately update with the corresponding color coding

Step 3: View Status Updates on Canvas

  1. Return to the main canvas view of your project
  2. Notice that sections now display colored markings indicating their status
  3. For example, a section marked "In Review" will show a purple indicator
  4. You can update the status directly from the canvas by clicking on the section's status indicator

Step 4: Manage Status from Site Map

  1. Access the site map view of your project
  2. Update section statuses directly from this view as well
  3. Changes made here will reflect across all project views

Step 5: Customize Status Names

  1. Method 1 - Direct Editing:
    • Click on any status dropdown
    • Modify the status names to fit your workflow
    • Example: Change generic statuses to person names to track who is working on which section
  2. Method 2 - Settings Menu:
    • Go to Settings in your project
    • Navigate to "Status Settings"
    • Edit status names and colors from this centralized location

Step 6: Set Page-Level Status

  1. Select an entire page rather than individual sections
  2. Use the status dropdown to apply a status to the whole page
  3. This is useful for tracking overall page completion or assignment

Step 7: Apply Consistent Naming Across Projects

  1. Navigate back to your main project dashboard
  2. Notice that custom status names carry over across the entire project
  3. Ensure consistency in naming conventions for easy tracking

Step 8: Customize for Different Projects

  1. Each project can have its own unique status naming conventions
  2. Set up different systems based on project needs:
    • Person-based assignments (names with colors)
    • Stage-based tracking (To Do, In Progress, Review, Complete)
    • Priority-based organization (High, Medium, Low)

Best Practices

For Team Assignments:

  • Use team member names as status labels
  • Assign distinct colors to each person
  • This creates a visual assignment system

For Workflow Tracking:

  • Use process-based names (Draft, Review, Approved, Published)
  • Match status names to your actual workflow steps

For Project Management:

  • Keep status names consistent within each project
  • Choose names that are meaningful to all team members
  • Regularly update statuses to maintain accuracy

Key Benefits

  • Visual Organization: Quickly identify section status through color coding
  • Flexible Assignment: Track both workflow stages and team member responsibilities
  • Multi-View Updates: Change statuses from canvas, site map, or individual sections
  • Project Consistency: Maintain uniform status systems across entire projects
  • Customizable Systems: Adapt naming and color schemes to fit different project types

This color coding system transforms project management in Claritee from a basic organizational tool into a comprehensive status tracking and assignment system that can be tailored to any workflow or team structure.
